Privacy policy
This policy explains how we process personal data when you contact us through the website. We comply with the EU General Data Protection Regulation (GDPR).

What data we collect
The name, company, work email address, phone number and message you enter in the form. We also store the time of submission, the page the form was sent from, and your consent. Your IP address is not stored as such – for spam protection we use an identifier derived from it that cannot be turned back into an IP address.
AI assessments (SMEs and industry)
The assessment result is calculated in your browser, and your answers are not sent or stored while you fill in the assessment. If you submit a pilot, consultation or quote request after the result, we store your answers, scores, recommended agent, value potential and estimated time saved together with your contact details, preferred contact method, language, submission time and the version of this privacy notice. We use the data only to handle your request and to manually confirm the scope and fixed price. We make no automated decisions about you and do not use the answers for marketing without separate consent. The data is deleted 12 months after the last contact unless a customer relationship is formed. Report links already sent from the earlier AI Productivity Check remain valid for 30 days.
Emails we send
When you send a form, you receive an email confirming receipt of your request. The confirmation is not an order confirmation or a meeting booking – we always confirm the scope, price and time personally.. The emails are sent from our own info@aiopti.fi mailbox on a Finnish hosting provider's server. We never repeat your message text in the email. At most three emails per day are sent to the same address, so the form cannot be used to harass someone else. If you did not send the form yourself, you can ignore the email or ask us to delete the data at info@aiopti.fi.
Purpose and legal basis
We use the data to reply to your enquiry and to arrange a possible follow-up conversation. The legal basis is your consent and our legitimate interest in replying to business enquiries. We do not send newsletters without separate consent.
Retention
We keep enquiry data for up to 12 months after the last contact, unless a customer relationship is agreed. Data is deleted automatically when the retention period ends.
Where data is stored
Data and reports are stored on a Finnish hosting provider's server in Finland and are not transferred outside the EU. Personal data (name, company, email, phone number and message) is stored encrypted in the database, and the encryption key is kept separately from the database. The data is readable only to our authenticated administrators. We do not sell or disclose data to third parties. Any sub-processors (e.g. booking and email services) are listed in this policy and are covered by a data processing agreement.
Cookies and analytics
The website uses no tracking or marketing cookies. Any visitor analytics is cookieless and cannot identify individual visitors.
Your rights
You have the right to access your data, request correction or deletion, restrict or object to processing, and withdraw your consent at any time. Requests: info@aiopti.fi. You also have the right to lodge a complaint with the Finnish Data Protection Ombudsman (tietosuoja.fi).
