How it works

AI prepares. Your team decides.

AIOpti is built on trust. It never sends anything by itself, does not guess when unsure, and sees only the information you allow.

An employee approves a prepared draft reply in an email view
  1. 1. Work arrives

A customer email, enquiry, quote request or PDF attachment arrives in the agreed mailbox.

  2. 2. AIOpti checks

The message is classified (e.g. quote request, question, complaint) and missing information is identified.

  3. 3. A suggestion is prepared

AIOpti prepares a draft reply or a request for information and shows why it suggests it.

  4. 4. A person decides

Your team approves, edits or rejects the suggestion. Nothing is sent without approval.

  5. 5. Result measured

Handling time, response time and the share of accepted suggestions are recorded and reported.

When confidence is too low, AIOpti stops

If there is too little information or the case is unusual, AIOpti makes no draft. It states the reason and leaves the message to your team. Holding back is as valuable an outcome as a good suggestion.

A workday with AIOpti

  1. Message arrives

A customer asks for a quote for a maintenance visit.

  2. Sorting

AIOpti recognises a quote request and notices the address is missing.

  3. Draft

A ready reply asking for the address and proposing a time.

  4. Approval

The employee reviews and sends – in about 30 seconds instead of 5 minutes.

  5. Friday summary

The owner sees hours saved, response times and open cases.
